The move to transaction reporting in EdPay

For those administrators who regularly access the Novopay Online (NOL) Transaction Report, the report not moving to EdPay will mean a change of process for tracking and checking their school's payroll transactions. Not all schools use the Transaction Report in NOL, so not everyone will be impacted in the same way. After enquiries from schools, we thought it sensible to share the reasons for this change and suggest an alternative approach.

Some schools have asked us why we're not moving the report over so we want to share the reasons for this change and suggest an alternative approach.

Why is the Transaction Report not moving to EdPay?

Schools have consistently asked us to have everything online and in one place. With the intention of having all features in one online home, EdPay is moving away from static pdf reports, in favour of live dashboard-type screens. The first of these are the timesheet and leave transaction histories, which together can be used in place of the key items in the Transaction Report.

Currently there is:

  • a Timesheet Transaction Overview showing submissions from the current pay period (printable)
  • a Leave Transaction History showing leave transactions reaching back to the start of the previous year (printable)

Coming soon:

  • a Timesheet Transaction History showing timesheet transactions reaching back to the start of the previous year (printable)

The advantages of these online transactions histories:

  • they show a live transaction history
  • they have more data, with the leave histories reaching back to the beginning of the previous year (and an equivalent timesheet version coming soon)
  • they have a filterable dashboard view, that can be printed
  • they have greater accuracy due to increased validations around aspects like pay codes and leave reasons

A disadvantage:

  • there will be no single transaction report, which will mean a change in process for some schools (to use more than one EdPay transaction history overview).

If your school has been a regular user of the NOL Transaction Report, we suggest you discuss the new transaction reporting with your auditor, in advance of your school's next audit.
