News for School Payroll Staff

Hi everyone, 

Coming up in the next few weeks are some significant payroll changes.

In Pay Period 07, the School Caretakers, Cleaners and Canteen Staff Collective Agreement 2017 to 2019 will be implemented, and from the 8 May 2017, the Clothing and Footwear allowance under clause 4.2 of the School Caretakers, Cleaners and Canteen Staff Collective Agreement 2017 to 2019 will be changing.

In Pay Period 06, two Collective Agreements have been implemented, Te Aho o Te Kura Pounamu Specialist and Support Staff Collective Agreement 2017-2019 (which only applies to support staff employed by Te Aho o Te Kura Pounamu), and Secondary and Area School Groundstaff Collective Agreement 2017-2019.

School caretakers, cleaners and canteen staff collective agreement

In Pay Period 07, the School Caretakers, Cleaners and Canteen Staff Collective Agreement 2017 to 2019 will be implemented.

Employees who are members of the union as of the date of the collective being signed will have their pay rate changes automatically applied to them in PP07, pay day 5 July 2017.

Employees will receive a 1.2% increase effective from 8 May 2017.

For any employees who are employed on an Individual Employment Agreement who wish to move to the latest Individual Employment Agreement, a NOVO22nt will be required.

Note: Individual Employment Agreements are effective from the 1 June 2017 or the date signed by the employee - whichever is later.


Clothing and footwear allowance

From the 8 May 2017, the Clothing and Footwear allowance under clause 4.2 of the School Caretakers, Cleaners and Canteen Staff Collective Agreement 2017 to 2019 will be changing.

The changes are:

  • The allowance is increasing from $0.10 to $0.15 per hour
  • The allowance will now be taxable from 8 May 2017.

This change will effect both union and non-union members employed under both the Collective Agreement and Individual Employment Agreements. This will be implemented in two stages:

1. In PP07, employees who are union members will have their clothing allowance increase applied at the same time as their pay rate increase.

2. In PP08, employees employed on current or old Individual Employment Agreements will have their clothing allowance changes applied. This will be back dated to 8 May 2017.


Two new collective agreements start

In Pay Period 06, two Collective Agreements have been implemented, Te Aho o Te Kura Pounamu Specialist and Support Staff Collective Agreement 2017-2019, and Secondary and Area School Groundstaff Collective Agreement 2017-2019.

Any employees who are employed on an Individual Employment Agreement who wish to move to the latest Individual Employment Agreement, a NOVO22nt will be required.

Te Aho o Te Kura Pounamu Specialist and Support Staff Collective Agreement employees will receive a 1.2% increase effective from 9 May 2017. Individual Employment Agreements are also effective from the 9 May 2017 or the date signed by the employee - whichever is later.

Secondary and Area School Groundstaff Collective Agreement employees will receive a 1% increase effective from 19 May 2017. Individual Employment Agreements are also effective from the 19 May 2017 or the date signed by the employee - whichever is later.

Changing schools' contact details

Schools that are wanting to change any contact details for their school need to send their change to: information.officer@education.govt.nz. These changes will be forwarded onto Education Payroll to update databases once the Ministry of Education has confirmed the change.

Bank accounts and bank redirects and returned funds

When a bank account is closed Education Payroll has to wait for the funds to be received back into our accounts before we can redirect the money to the new account. This can take up to 72 hours. Please ensure bank account changes are advised within the deadline if submitting a change via a form or by the online process.

Important dates to note:

So we can make changes on time we need to receive information on a submitted form or online by 5pm Monday the week before pay day. For example, if pay day is 21 June 2017, we need the form by Monday 12 June 2017.

Bank Account Forms FAQs

Can I set up multiple bank account numbers?

Yes. Three bank accounts can be registered. Use the Personal Details Change Form - NOVO3 to change or add a new bank account. You can also change or add a new bank account online if you prefer.

Note: a deduction fee will be applied for each extra bank account.

How do I notify payroll about ceasing my other bank account details?

Use a Personal Details Change Form - NOVO3.

What is the bank account format to enter?

Novopay Online uses the standard New Zealand bank account format:

  • Digits 1-2 indicate the bank
  • 3-6 indicates the branch
  • 7-13 indicates the bank account
  • 14-16 the suffix. (Do not be concerned if there is only 15 digits that is the minimum required)

Can we enter international bank accounts or credit cards?

No. We are unable to enter credit card accounts or international bank accounts.

Payroll advisor profile

Introducing Mark.


Mark has been at Education Payroll since September 2015.

When asked what he did before EPL his workmates laugh - "What hasn't he done!" His previous roles include stock management at Carter's Building supplies, working for Inland Revenue, Vodafone, Queen Digital and Snowgum and numerous others. 

He is originally from Britain immigrating to New Zealand in 2008. "I am from Kent and I came out on holiday here in 2006 and I immediately fell in love with the place."

Mark supports 27 primary and secondary schools from Auckland down to Christchurch. Working at the Vodafone call centre he found he loved the experience of interacting directly with customers and that is why he joined Education Payroll.

"I know the payroll staff at my schools really well. We kid around a lot and share a laugh and they are more like friends and family." He says his team of school account managers at Education Payroll also have a strong sense of humour and commitment to their schools. "You get to know other people's schools because we help one another out if we are away on leave or on another call."

Outside of work he and his partner are keen beach walkers and travellers and enjoy exploring small town NZ. Does he have one favourite school we ask him? "Yes", he says, "I have four or five!"

Mark is famous at Education Payroll as being the recipient of a large red and white frosted chocolate cake sent to him last December by Manurewa High School for the help he and his team mates had given to the school throughout the year.
